Build and publish a schedule
The Shift Planner is where you build each week. Shifts you add stay as drafts that only managers see, until you publish. Publishing sends the schedule to your team and asks each employee to confirm their shifts.
Build the week
Section titled “Build the week”-
Go to Shift Planner and pick the location and week at the top.
-
Click an empty spot in an employee’s day to add a shift. Pick one of the Suggested shifts from your shift slots, or set the start time, end time, and unpaid break yourself.
-
Choose the position and, if you use them, a task list. Then select Save Shift.
-
To move a shift to another day or employee, drag it.
-
Short on time? Copy last week copies the previous week’s shifts in one step. Undo copy reverses it.
-
Open Planner and pick the location and week.
-
Use the Week, By day, or By employee tab. Tap any day to add a shift, then tap a suggestion to create it instantly, or set the times yourself.
-
Tap a shift to edit it. Drag a shift to move it.
-
For a bigger view of the week, turn your phone sideways or tap the expand button on the Week tab.
You can also start a new shift from the + button in the middle of the bottom bar.
Leave a shift open
Section titled “Leave a shift open”Set the employee to Unassigned (open shift) to post a shift without a person. Employees at that location see it under Open shifts and can take it.
Warnings to watch for
Section titled “Warnings to watch for”- Scheduling conflict: the employee has approved time off that day, or marked themselves unavailable.
- Outside availability hours: the shift is outside the hours the employee said they can work.
- Overtime: each employee’s weekly hours are shown next to their name, and turn red past 40 hours or their personal limit.
You can still save with Save anyway when you’ve checked it’s right.
Publish
Section titled “Publish”Select Publish week to publish every draft shift in the week. To publish only some shifts, select Select shifts, pick them, then Publish selected.
Download PDF gives you a printable copy of the week. Shifts that aren’t published yet are marked Draft.
Filter to one location, then tap Publish week.
Change a published schedule
Section titled “Change a published schedule”You can edit a published shift at any time. If you change its time or employee, the shift needs publishing again so the employee is told. Changing only its position or tasks doesn’t.
When you delete a published shift, choose Delete and notify to tell the employee, or Delete without notifying.
Confirmations and reminders
Section titled “Confirmations and reminders”After you publish, each employee confirms their shifts. The planner shows how many shifts are still unconfirmed. Select that count (web) or Send confirmation reminder (mobile) to remind everyone who hasn’t confirmed. If you reminded them recently, Duxora won’t send another one yet.
